Some of our menu items contain allergens and whilst we try our very best to ensure your food is suitable for you, our food is prepared using shared equipment and stored in areas in which allergenic ingredients are present. As a consequence, we cannot guarantee that dishes are 100% free from allergenic ingredients. Our allergen information, that is available upon request, details which dishes contain allergenic ingredients as intentional ingredients. Ingredients may have changed since your last visit, please ask a member of staff for further details.

Event Booking Terms and Conditions

These Terms and Conditions (“Terms”) govern all event bookings made with Simply Creative Agency, in collaboration with Bedford Swan Hotel & Thermal Spa (“the Organisers”). By completing a booking, you (“the Guest”) acknowledge that you have read, understood, and agreed to these Terms in full.

1. Event Ownership and Management
1.1 The event is jointly organised and hosted by Simply Creative Agency and Bedford Swan Hotel & Thermal Spa.
1.2 All communications, marketing, and data processing related to the event are managed by the Organisers.

2. Bookings and Payments
2.1 All bookings are final and non-transferable.
2.2 Once payment has been processed, no cancellations or refunds will be accepted under any circumstances.
2.3 The Guest is responsible for ensuring that all booking details are correct prior to confirmation.

3. Photography and Videography
3.1 The event will be professionally photographed and recorded for marketing, publicity, and promotional purposes.
3.2 By attending the event, the Guest grants the Organisers the irrevocable right to use any images, video, or audio recordings in which they may appear.
3.3 The Organisers cannot guarantee that individual Guests will be excluded from recordings or photographs, even if a request to avoid filming has been made.
3.4 All media captured remains the intellectual property of the Organisers.

4. Use of Media
4.1 The Organisers may use event photographs and recordings across digital, print, and broadcast media, including but not limited to websites, social media channels, advertisements, and promotional materials.
4.2 No compensation or further consent will be required for such use.

5. Data Protection and Privacy
5.1 The Guest’s personal data will be securely held and jointly controlled by Simply Creative Agency and Bedford Swan Hotel & Thermal Spa.
5.2 The Guest’s information may be used for:
Event administration and communication;
Future marketing and promotional purposes relating to the Organisers’ services; and
Notification of upcoming events or offers.
5.3 Personal data will not be shared with any third parties outside the Organisers without prior consent, except where required by law.
5.4 All data processing will comply with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

6. Liability
6.1 Attendance at the event is at the Guest’s own risk.
6.2 The Organisers accept no liability for any personal injury, loss, or damage to personal property sustained during or in connection with the event.
6.3 The Organisers are not responsible for any consequential losses or expenses incurred as a result of event attendance or non-attendance.

7. Acceptance of Terms
7.1 By completing the booking process and submitting payment, the Guest confirms full acceptance of these Terms and Conditions.
7.2 The Organisers reserve the right to amend or update these Terms at any time. Any such changes will take effect immediately upon publication.
